The messages a stay actually needs
A confirmation once the booking is made. An arrival reminder the morning of check-in, with access details front and centre. The house manual, delivered before it is needed rather than after a guest is already confused about the shower. A check-out reminder the day before, so nobody is scrambling on the morning itself. None of these are complicated messages. What makes them work is arriving at the right time, without fail.
Why timing beats content
A perfectly written message sent at the wrong moment is nearly as useless as no message at all. An arrival reminder that lands three days early gets forgotten. A house manual that arrives after checkout is pointless. Automation solves a timing problem, not a writing problem, which is exactly why it matters more than most hosts expect.
What happens when it is left to memory
Doing this by hand works fine with one or two bookings a week. It is the first thing to slip once volume picks up, or the moment a host is travelling, busy with another property, or simply has a full week. The guest does not know that. They just notice the reminder never arrived.
The channel matters less than the schedule
Whether a message reaches a guest over WhatsApp, SMS, or email matters less than whether it reaches them at all, and whether every guest gets the same sequence in the same order. Consistency across the whole guest journey is what actually protects the experience, not the choice of app.
What comes after check-out
The sequence does not stop at the door. A review request timed while the stay is still fresh, review monitoring so a problem gets flagged quickly, and a follow-up to guests who loved their stay, inviting them back directly. A past guest who books direct costs no commission, and a well-timed follow-up is one of the cheapest bookings a host will ever make.
